Case Study: Professional Event Medical Cover for a UK Outdoor Summer Festival

Providing reliable, responsive, and clinically safe event medical cover is a core service of Halo Medical Group. Our experienced teams support a wide range of public and private events, from music festivals and endurance sports to corporate functions and community fairs.

In this case study, we highlight our successful deployment at a large outdoor summer festival in the South of England, attended by over 8,000 guests, including families, performers, and event staff. Halo was contracted as the sole medical services provider, delivering full on-site medical coverage for the two-day event.

Event Profile

  • Type: Outdoor family-friendly music and food festival
  • Location: Private farmland near the Hampshire–Surrey border
  • Duration: 2 days (weekend)
  • Attendance: Approx. 8,000 guests per day
  • Medical Risk Rating: Medium (due to alcohol, weather exposure, and temporary structures)
  • Client: Event production company managing multiple festivals across the UK

Scope of Medical Cover

The organisers required a comprehensive and scalable medical support plan, in line with Health and Safety Executive (HSE) and Purple Guide recommendations for public events. Key objectives included:

  • Immediate on-site clinical response to medical incidents
  • Triage, treatment, and escalation where needed
  • Coverage for multiple zones (stages, camping, kids’ area, food court)
  • Documentation and safeguarding procedures
  • Pre-event planning and risk assessment input

The event involved activities that increased risk, including live music, alcohol consumption, children’s play areas, uneven ground, and prolonged exposure to heat during a hot weather warning.

Our Approach

1. Pre-Event Planning and Medical Risk Assessment

Halo’s event operations team worked closely with the event organisers to develop a bespoke medical plan. This included:

  • Review of site maps and access routes
  • Risk profiling (heat illness, intoxication, minor injuries)
  • Staffing matrix based on expected attendance
  • Designated Medical HQ and roaming response teams
  • Liaison with local NHS services and ambulance control

We produced a full Event Medical Risk Assessment, Major Incident Plan, and a Handover Protocol for escalation to the local emergency department if needed.

2. Deployment of Medical Resources

Halo deployed a well-equipped medical team including:

  • 1 x Event Medical Manager (HCPC-registered paramedic)
  • 2 x Paramedics
  • 4 x Emergency Care Assistants
  • 2 x First Responders
  • 1 x Private Ambulance Vehicle (CQC-compliant)
  • 1 x Medical Tent / Treatment Centre

The Medical Tent acted as a central triage and treatment point, stocked with:

  • Defibrillator (AED), oxygen, airway management equipment
  • Advanced trauma dressings and burn kits
  • Oral rehydration solutions and minor illness medications
  • Privacy screens, clinical waste bins, and safeguarding tools

Our roaming teams provided first-on-scene response across the site using radio communication for fast deployment.

Incidents Managed

Across the two days, our team handled over 45 patient contacts, including:

  • Dehydration and heat exhaustion (8 cases)
  • Minor wounds and cuts (10 cases, treated with dressings and discharged on-site)
  • Alcohol-related illness (6 cases, monitored and cared for safely without hospital transfer)
  • Ankle sprains and soft tissue injuries (5 cases, assessed and advised)
  • Insect stings/allergic reactions (2 cases, treated with antihistamines)
  • Children’s minor injuries (managed with parental support and safeguarding checks)

Three patients required escalation via 999 ambulance transfer, including:

  • A suspected seizure (later confirmed as syncope)
  • A laceration needing hospital sutures
  • A case of moderate dehydration requiring IV fluids

Each escalation was handled swiftly, with structured clinical handovers and timely liaison with South Central Ambulance Service.

Client Feedback

The event organisers were extremely satisfied with the professionalism, calm presence, and visible coverage provided by Halo:

“Halo Medical Group were outstanding from start to finish. Their presence was reassuring for both our team and the public. The on-site medical tent was run like a mini A&E, and their response times were incredibly fast. We’ll be working with them again for all of our future events.”

Post-event, we provided a comprehensive debrief report, including anonymised incident logs, recommendations for future medical planning, and feedback from the public.
